SFO Inspection Request — Sandbox Walkthrough

Happy path in the SFOBox sandbox, from the Access Control workspace through a finished inspection request. The sample is already on the records below, so each link opens the screen for that step. Follow the “On this page” notes to see where the next action sits.

Sample already walked Terminal 3 West Modernization, prefix T3W. T3W001 is closed: Carpenter Shop, revision 1, Partial Pass at 67%. T3W002 is the reinspection of the door that failed, and it is still scheduled. Log in to Sandbox (SFOBox). Curtis and Sham have SFO ACS Internal Edit and SFO ACS AvSec Field Access.
Access Control→ Request→ Send back & resubmit→ Accept & print→ Inspect→ Write-back→ Reinspection→ IR Log
Step 1

Open Access Control and find the T3W doors

The request starts on the Access Control tab in CitiriOS Command. The sample doors are SE-01334 through SE-01337 on Terminal 3 West Modernization.

On this page
  1. At the top of the Access Control card, open Program and choose All.
  2. Open Project (it stays grey until a program is chosen) and choose Terminal 3 West Modernization.
  3. In the Search box on the right, type SE-0133.
  4. Leave the Doors button selected. It sits under the filters, to the left of Cameras.
What you should see
  • The grid is only Terminal 3 West Modernization. Cargo and other projects stay out of the search.
  • Checkpoint Departures, Concessions Support, and Electrical Room are the three doors on T3W001. UNITED Hallway EGRESS is the extra door on T3W002.
  • The toolbar under the metrics has ACS only, Request Inspection, Print IR, and IR Log.

To open the finished request, use the button below. To reprint a door’s latest IR from the grid, check one door in the SFO Door / ACS Point column, then click Print IR.

Next: stay on Access Control if you want to see the request panel, or open T3W001 for the record that was submitted.

Step 2

Request the inspection, and see AvSec blocked

T3W001 was requested from this grid for three ready doors: Checkpoint Departures (SE-01335), Concessions Support (SE-01334), and Electrical Room (SE-01336). Inspection To was Carpenter Shop. The number assigned on submit is T3W001, revision 0.

On the Access Control page
  1. With Program = All, Project = Terminal 3 West Modernization, and Search = SE-0133, check the boxes for Checkpoint Departures, Concessions Support, and Electrical Room. The checkbox is in the SFO Door / ACS Point column, left of the door name.
  2. The blue button in the toolbar changes to Request Inspection (3). Click it.
  3. A panel opens on the right, titled Request Inspection.
On the request panel
  • Request (top band): project, inspection type ACS Door / Point, requested by, and the three door names. Inspection To is the required dropdown.
  • Choose AVSEC. A red notice lists each door and says it needs Carpenter Shop and Tech Shop approval before AvSec. Submit Request at the bottom right stays disabled.
  • Choose Carpenter Shop again. The notice clears and Submit Request is available.
  • Schedule (middle band): Requested Date, Preferred Time (AM/PM), After-hours, On-site Contact, Meeting / On-site Location, Subcontractor.
  • Details (lower band): BICE Project #, Permit #, Sheet / Detail / RFI, Description.
  • Footer: Cancel, Save Draft, Submit Request.
Leave this sample as it is T3W001 is already submitted. Cancel the panel if you opened it only to see the AvSec block. A new Submit Request creates another IR number.

T3W001 was submitted for November 8, 2026, AM, meeting location “T3W Level 2 lobby.”

Step 3

Review the request: send back, resubmit, then accept

T3W001 was sent back once, resubmitted as revision 1 with the same number, then accepted and scheduled. The record now shows the end of that review.

On the T3W001 record
  1. The highlight bar at the top of the page shows IRD-00000, IR Number T3W001, Project, Inspection To, Review Status, and Execution Status. The only standard button there is Delete, on the right. Slack shows in that bar only after Slack is connected to the org.
  2. The inspection panel starts under the highlight bar. The large title is T3W001, with Revision 1 under it. Status pills sit on the right of that title.
  3. While a request is Received, the buttons under the title are Accept, Send Back, Print IR, and Withdraw. On this closed record those review buttons are gone. Print IR remains.
  4. Send Back opens a small window. The reason box is required. Sending back keeps the IR number and emails the requester.
  5. Resubmit replaces Send Back after a decline. It returns the request to Received and raises the revision. T3W001 went from revision 0 to revision 1. The reason used was “UAT: missing permit number, please resubmit.”
  6. Accept opens Scheduled Date, Scheduled Time, Inspector of Record, and Inspector Department. This request is November 10, 2026 at 9:00 AM, inspector David Thompson, department Carpenter Shop.
What you should see now
  • Pills: Accepted, Closed, Partial Pass.
  • Counts under the buttons: Assets 3, Inspected 3, Passed 2, Failed 1, Pass Rate 67%.
  • Request Details: Carpenter Shop, ACS Door / Point, requested November 8, 2026 AM, scheduled November 10, 2026 9:00 AM, Requested By Faizan Shaik, meeting location T3W Level 2 lobby.

Next: click Print IR on this page, or use the print link in the next step.

Step 4

Print the IR

Accept attaches this PDF to the requester’s email. CAS uses the same PDF for the Outlook invite. On T3W001 the file is T3W001.pdf.

On the T3W001 record Click Print IR. It is the button with the printer icon, directly under the T3W001 title. The PDF opens in a new browser tab.
What you should see
  • Header: IR number T3W001, revision, project, inspection to, requested date, and schedule.
  • Asset lines for Checkpoint Departures, Concessions Support, and Electrical Room, with the result on each line.
Step 5

Record the three results

The inspector opens the IR, taps a door, marks the checklist, and chooses one result. These three results are already saved on T3W001.

LineDoorResultWhat it did
1 Checkpoint Departures Approved All 25 checklist lines Passed. Carpenter Shop date written. No Issue.
2 Concessions Support Approved with Comments One line failed: DOOR CONDITION - Appearance, note “Door scuffed at lower panel,” with a photo. One High Issue. Carpenter Shop date still written.
3 Electrical Room Failed Door flagged for reinspection. No per-line Issue. No Carpenter Shop date from this request.
On the T3W001 record
  1. Scroll to the Assets table under Request Details.
  2. Click a row. The whole row opens the inspector. A panel slides in from the right.
  3. The checklist is the first section. Each line has Passed, Failed, and N/A. A failed line needs a note in the box under the chips. A Go/No-Go line also shows Photo required to fail until a photo is attached with Add photo.
  4. The Result section is at the bottom of that panel: Comments, then Approved, Approved with Comments, and Failed.
  5. Close the panel with the × at its top right, then open the next door.
This request is closed The chips and result buttons are locked. Use them to read what was recorded. Changing a result means reopening the work on a request that is still Scheduled, such as T3W002.

Next: open the doors and the Issue to see the write-back.

Step 6

See the write-back on the doors and the Issue

Passing results write the shop’s approval date on the door. Approved with Comments also raises one High Issue per failed checklist line. A Failed result sets Reinspection Required.

On a door record Open the door, then look at the Access Control fields for Carpenter Shop Approved Date and Reinspection Required. On the Issue, the highlight shows priority High and stage Identify. The description names T3W001, Concessions Support, and the failed line.
RecordWhat to confirm
Checkpoint Departures (SE-01335) Carpenter Shop Approved Date is October 29, 2026. Reinspection Required is unchecked.
Concessions Support (SE-01334) Same Carpenter Shop date. The High Issue hangs off this door.
Electrical Room (SE-01336) Reinspection Required is now unchecked, because the later reinspection passed. The Carpenter Shop date was written by that passing reinspection.
High Issue “T3W001 Carpenter Shop inspection, Concessions Support: DOOR CONDITION - Appearance failed. Notes: Door scuffed at lower panel.”
Step 7

Reinspect the failed door

Electrical Room failed on T3W001, so the next Carpenter Shop request that includes it is marked a reinspection as soon as the door is added. That request is T3W002. UNITED Hallway EGRESS was added with it and is a normal line, still not inspected.

On T3W002
  1. Under the title, look for the Reinspection pill next to Accepted and Scheduled.
  2. In the Assets table, Electrical Room shows Reinspection in the row and result Approved. UNITED Hallway EGRESS shows Not Inspected.
  3. Click the Electrical Room row. The checklist lines are Passed, and the result at the bottom of the panel is Approved.
  4. Because that reinspection passed, Reinspection Required is cleared on the door and the Carpenter Shop date is filled. Open Issues from the earlier failed cycle for that door and shop are closed. T3W001’s Issue stays open, because it belongs to Concessions Support, which was Approved with Comments.
What is still open on purpose
  • T3W002 stays Scheduled until UNITED Hallway EGRESS has a result. Then the request moves to Inspected, and Close Request appears under the title.
  • On a fully inspected request, Close Request is the blue button under the title. T3W001 already shows Closed.
Step 8

Read the IR Log and the report

The IR Log is the list that replaces the CAS spreadsheet. The report groups the same requests by Inspection To.

On the IR Log
  1. The list name IR Log is the dropdown at the top left of the list, next to Inspection Requests.
  2. Confirm both rows: T3W001 Closed, Partial Pass, 67%, reinspection unchecked; T3W002 Scheduled, reinspection checked, 1 passed of 2 assets.
  3. The list header has search, refresh, sort, and filters. New, Import, Change Owner, and Printable View are not on this list.
  4. Click the IR number to return to the record.
On the report The report title is SFO IR Log. Rows are grouped under Carpenter Shop. T3W001 and T3W002 are both in that group. Use the back arrow in the report toolbar to leave the viewer.

From Access Control, the same list opens from IR Log in the toolbar under the metrics, to the right of Print IR.

Step 9

Who gets an email, and when

Inspection Request notices are plain-text messages sent when the record changes. They are not stored as a Classic Email Template. One notice goes out for each event below. The weekly summary is the AvSec email, grouped by project.

WhenToSubject
Submit or resubmit SFO CAS IR queue New inspection request T3W001, or Resubmitted inspection request T3W001
Send back Requester, and the on-site contact when one is set Inspection request T3W001 sent back, with the reason
Accept Requester Inspection request T3W001 accepted, with the PDF attached
High Issue created The project’s PDP Construction Manager, commissioning manager, and Special Systems Lead, when those contacts have email New deficiencies on the project
Weekly summary Public group SFO AvSec Weekly Summary SFO ACS Weekly Inspection Summary, with this week’s results and next week’s schedule
Sandbox mail SFOBox can send from the org-wide address demo@citiri.com. If that address cannot send, the request still saves and the page says email is turned off. The weekly summary was run once for this sample and completed with no batch errors. Curtis, Sham, and Faizan are in the CAS queue and the AvSec group.
There is no Classic Email Template for Inspection Request Every row in the table above is HTML built and sent by Apex, in SFO_IrNotificationService. Inspection Request does not use Setup → Classic Email Templates at all, so there is nothing under that name to open for this feature. The only Classic templates in this sandbox belong to the unrelated Resource Plan / Resource Tracker feature; see Other pages below if you want to show someone what a Classic template looks like, but do not present it as the IR email.
Step 10

Do it yourself: make a door ready, then run a live inspection

Steps 1–9 only showed finished examples. This step uses a door nobody has touched yet, SE-01338, Hallway EGRESS, on Terminal 3 West Modernization. Run all five pieces yourself: make it ready, request an inspection, accept it, inspect it, and confirm the write-back. This is the part to actually drive live in the meeting, not just show.

It is safe to leave in whatever state you end on This is a sandbox. If you want to run the exercise a second time, SE-01339 (IC Connector Stairs), SE-01340 (SSR ZC T040C), and SE-01341 (SECURE CONNECTOR ROOF) are also untouched.

A. Make SE-01338 ready for inspection

On Access Control
  1. Program = All, Project = Terminal 3 West Modernization, Search = SE-01338.
  2. In the section switcher under the toolbar, click Construction.
  3. The Hallway EGRESS row shows Not Started or — in every column, and Ready for Inspection = No at the right edge. You can edit right in the row, or click the door name to open the same fields in the side panel.

This door is ACS = Yes and is not in CAD, so set these 14 fields. Ready for Inspection checks this exact list, so this is also the answer to “why isn’t this door ready yet” for any real door.

  • Door Frame Installed = Complete
  • Elec Roughed-In, Lenel Box QC / Location Review, Door Card Installed, Energized, Programmed, Integrated to SOC, Camera Association Complete, Pre-tested, Finish Work Completed, Tags Installed, Signage Installed = Yes
  • Projected Cx Date = any date
  • Contractor Functional Testing = any note, for example “Ready for demo”
Saving Edits now stage locally as you set them. A yellow strip on the left of a field marks it as unsaved, and the toolbar shows a Discard button and a Save Changes button with a count. Nothing is written to the door until you click Save Changes. A spinner covers the grid while it saves, then the row refreshes with the real values.
What you should see
  • After Save Changes, every field you set shows its new value and Ready for Inspection flips to Yes.
  • If it stays No, open the row and look for a field still blank or still Not Started. The list above is complete; there is nothing else Ready for Inspection checks.

B. Request an inspection on it

On the Access Control grid
  1. Check the box next to Hallway EGRESS, in the SFO Door / ACS Point column.
  2. Click Request Inspection (1) in the toolbar.
  3. Inspection To defaults to Carpenter Shop, the first shop this door has not had yet. Open the dropdown to see the full list render correctly, including AVSEC (not available), because Carpenter Shop and Tech Shop approval are both still missing. Put it back on Carpenter Shop.
  4. Fill Requested Date (any upcoming date) and Preferred Time, then click Submit Request.
What you should see
  • A toast with a brand-new IR number, the next one in the T3W sequence.
  • The new record opens. Review Status is Received.

C. Accept it as CAS

On the new IR record Click Accept. Fill Scheduled Date, Scheduled Time, Inspector of Record (search any contact), and Inspector Department = Carpenter Shop. Save.
What you should see
  • Review Status moves to Accepted, Execution Status to Scheduled.
  • If sandbox mail can send, the requester gets the acceptance email with the PDF attached.

D. Walk the inspection

On the new IR record
  1. In the Assets table, click the Hallway EGRESS row. The inspector panel slides in.
  2. Go line by line through the checklist: Passed, Failed, or N/A. If you mark a Go/No-Go line Failed, it will not save until you add a note and a photo with Add photo.
  3. At the bottom of the panel, add a comment if you want one, then choose a Result: Approved, Approved with Comments, or Failed.
  4. Close the panel with the × at the top right.

E. Confirm the write-back

  • Approved or Approved with Comments: open Hallway EGRESS and confirm Carpenter Shop Approved Date is now filled.
  • Approved with Comments with a failed checklist line: a new High Issue appears for this door.
  • Failed: Reinspection Required is checked on the door, and no shop date was written.
  • On the IR record: once the one asset has a result, Close Request becomes available under the title.

Surfaces outside the happy path

These pages are in the sandbox and were adjusted with the solution. They are not stops on the Access Control → request → inspect path.

Lists and setup

Awaiting CAS Review Same list page as the IR Log. Open the list dropdown at the top left and choose Awaiting CAS Review, or use the button. It shows requests whose review status is Received. T3W001 and T3W002 are both Accepted, so this list is empty until the next submit.

On the project, the IR prefix field is T3W. That prefix plus the project sequence is the IR number.

IR asset rows

Each door on a request is its own IR Asset. The result, reinspection flag, and checklist live here as well as on the IR panel.

Classic email templates (Resource Tracker, not ACS or Inspection Request)

Unrelated feature, shown only as a reference These three templates belong to the Resource Plan / Resource Tracker module. They have nothing to do with ACS Tracker or Inspection Request, and Inspection Request mail is never sent from a Classic template. They are listed here only so you have an example of a Classic template open in this sandbox if someone asks what one looks like.

T3W002 print

The reinspection PDF. Electrical Room is marked as a reinspection. UNITED Hallway EGRESS is still not inspected.
